Does Closing the Till Still Take an Hour and a Calculator?

Most shops in Pakistan run on a billing app that stops at the receipt. Everything after it — stock, udhaar, suppliers, salaries, deliveries — lives in registers and WhatsApp. Sound familiar?

Udhaar (credit) balances live in a notebook — nobody knows the real receivable until a customer disputes it

Expired medicines are found on the shelf by the customer, not by the system, because expiry was never tracked by batch

Two cashiers share one drawer and the end-of-day short can never be pinned on anyone

The salesman takes orders on WhatsApp, the storekeeper packs from memory, and the driver has no list of what went where

Supplier invoices, expenses and staff advances sit in three separate registers that never add up to the cash in hand

Purchase prices change every month and you only discover you sold below cost when the quarter closes

Xelent POS closes the gap between the counter and the back office.

One database. Every sale, purchase, payment, salary and delivery — connected.

The POS Screen

Scan, Pick the Batch, Print. Next Customer.

The sales screen is built for a busy counter: barcode or name search, batch and expiry selection for medicines, loose-unit sales, customer lookup with credit limit, and a thermal receipt the moment you hit print. A second screen shows the customer their running bill.

  • Barcode scan or type-ahead search with batch and expiry picker
  • Loose medicine sales — sell strips or tablets from a box
  • Customer selector with ledger balance and credit limit at a glance
  • Hold a bill, take the next customer, come back to it
  • Cash, card and credit payments; split tenders on one receipt
  • Thermal and A4 receipt templates; customer display on a second screen
  • Keyboard shortcuts for every action — the mouse is optional

A Full Back Office Behind the Counter

These are the modules that ship today — not a roadmap. Each one writes to the same ledgers, so a purchase updates stock, a sale updates the customer's balance and a salary advance shows in the day book.

Sales & POS

POS screen, sales list, sale returns, quotations, pending orders and delivery assignment. Receipts print to thermal or A4 and export to PDF.

Cash Registers

Open and close a register per cashier with opening float, expected versus counted cash and a cash-in-hand report at close.

Customer Display

A second screen facing the customer shows items, running total and change — fewer disputes at the counter.

Customers & Ledger

Customer categories, credit limits, payment terms, a full ledger per customer and credit reports that show who owes what and for how long.

Products, Stock & Suppliers

Categories, sub-categories, units, barcodes and price lists; batches, expiry and drug types for pharmacies; supplier ledger and vendor stock reports.

Purchases & Returns

Purchase orders, receivings, purchase invoices and purchase returns that post straight to stock, supplier ledger and purchase tax report.

Warehouses & Transfers

Multiple warehouses or branches, stock transfers between them, stock adjustments and wastage with reasons.

Expenses & Payments

Expense entry by category, customer and supplier payments, and a day book that ties sales, purchases, expenses and payments to cash.

Employees & Attendance

Departments, designations, employee files and a daily attendance calendar — the base for salary generation.

Salaries, Allowances & Advances

Allowance and deduction types, employee advances, monthly salary generation and printable salary slips. Basic payroll without a separate HR system.

Salesman & Driver Logins

A salesman order screen that creates pending sales; a driver app view listing deliveries and recording returns.

Loyalty Points

Points on completed sales, tiers, customer profiles and a loyalty report — for retail counters that want repeat footfall.

25+ Reports

Sales, profit and loss, cash in hand, inventory, item ledger, expiry, minimum stock, sale below cost, cost price changes, sales trend, salesman and delivery reports — on screen, PDF, print or Excel.

Roles, Permissions & Activity Logs

Granular permissions per route, soft deletes, and an activity log of who changed what and when.

Setup Wizard & Settings

A business setup wizard, taxes, UOMs, cities and countries, and settings such as the salesman and driver fields toggle.

Know What Is on the Shelf, What Is Expiring and What to Reorder

Products carry categories, sub-categories, units of measure, barcodes and — for pharmacies — drug types, batches and expiry dates. Purchases, purchase returns, stock adjustments, wastage and warehouse transfers all post to the same item ledger, so the stock figure on screen is the stock figure on the shelf.

  • Batch-wise stock with expiry report and configurable warning window
  • Minimum stock report that turns into a purchase order in one click
  • Cost price change and sale-below-cost reports so margin leaks show up weekly, not quarterly
  • Purchase orders, receivings, purchase invoices and returns per supplier with a supplier ledger
  • Stock adjustments, wastage and warehouse-to-warehouse transfers with full item ledger
  • Barcode label printing and supplier-wise price lists
Staff & Deliveries

Salesmen Take Orders. Admin Confirms. Drivers Deliver. Nothing Is Lost in Between.

Wholesale and distribution counters get a three-role workflow. A salesman logs in to a stripped-down order screen and submits orders as pending — no stock moves yet. Admin reviews the pending list, assigns a supplier and a driver, and completes the order; only then is stock deducted. The driver sees their deliveries on their own login and records returns.

1

Salesman submits the order

Same product search and customer picker as the POS, saved as pending. No stock is deducted and no payment is taken yet.

2

Admin reviews the pending list

Order number, customer, salesman, items and total in one view. Edit, delete, or assign a supplier and a driver and complete it.

3

Stock moves on completion

Only a completed order deducts inventory, awards loyalty points and shows in ledgers and reports — pending orders never distort your numbers.

4

Driver delivers and records returns

The driver login lists today's deliveries with customer and address; returned items come back into stock through the returns screen.

FBR & PRA Readiness

Fiscal Compliance Is a Setting, Not a Second System

Xelent POS is built on the same fiscalisation layer as our FBR & PRA compliance product. Products carry tax classes; when your business is registered, turn fiscal reporting on and receipts start carrying the FBR or PRA invoice number and QR code. If you are not registered yet, nothing changes — and you will not have to migrate when you are.

  • Tax classes on products — standard, reduced, exempt — ready for FBR sales tax on goods
  • PRA treatment for service lines where a counter also bills services
  • FBR or PRA invoice number and QR code printed on thermal and A4 receipts
  • Offline queue with automatic retry when the connection drops
  • Purchase tax and sales tax reports for your return filing

FAQs

Frequently Asked Questions

What shop owners ask before switching to Xelent POS.

Does Xelent POS work when the internet goes down?

Yes. Billing continues at the counter and receipts print as normal. Anything that needs to reach a server — including FBR or PRA fiscal submissions when enabled — is queued locally and sent automatically when the connection returns. Your cashier never has to stop selling because the internet stopped.

Can I run more than one counter or cash register?

Yes. Each cashier opens their own register with an opening float, and closes it with an expected-versus-counted cash comparison. Multiple registers can run in the same shop, and multiple warehouses or branches can share one database with stock transfers between them.

Is Xelent POS suitable for a pharmacy specifically?

Yes. Products carry drug types, batches and expiry dates; the POS lets you pick a batch at sale time and sell loose units from a pack; and the expiry, minimum stock and patient sales reports are built for medical stores. General retail and wholesale use the same system with those fields switched off.

Is it FBR or PRA compliant?

Xelent POS is fiscal-ready: it is built on the same in-house fiscalisation layer as our FBR and PRA compliance product, so once your business is registered with FBR (goods) or PRA (Punjab services), fiscal reporting is enabled and receipts carry the authority's invoice number and QR code. Whether your business must register, and under which authority, depends on your turnover and category — we will check that with you during the demo.

How do salesman and driver logins work?

A salesman logs in and sees only an order-entry screen and their own submitted orders. Orders are saved as pending without touching stock. An admin completes the order by assigning a supplier and a driver; at that moment stock is deducted and the order appears in ledgers and reports. The driver logs in to see their deliveries and record returns. The salesman and driver fields can also be switched on in the regular POS form if you want to track them on counter sales.

What does it take to move from my current software?

Products, customers and suppliers are imported from Excel, and opening stock and opening balances are entered or imported as adjustments. A typical single-shop setup is ready in a day; a multi-branch wholesale setup takes longer because of the role and warehouse configuration. We provide cashier training in Urdu or English and stay on support after go-live.
